Setting up and using the Zoom Meetings integration in Kommo.
Adding the app
Before you start. You need administrator rights in your Kommo or amoCRM account, and a Zoom account whose owner or admin can approve the integration. Cloud recording and audio transcript are optional: switch them on in Zoom if you want recordings and transcripts in the card.
- In Kommo open Settings → Integrations, find Zoom Meetings and install it. Press «Save» on the integration card — the account is registered at this step.
- Open the integration settings again and press «Connect Zoom». Only an account administrator sees this button.
- A Zoom window opens and asks you to approve access. Approve it. The window closes by itself and the block changes to «Zoom connected».
- Open the «Users» tab and press the matching button. Your staff are matched to Zoom users by e-mail; anyone the match misses can be set by hand.
- On the «Connection» tab choose what to do with transcripts: attach as a file, as a link, both, or do not save them.
- Optionally switch on notifications about a meeting starting, ending, and about a recording or transcript becoming ready.

Using the app
Prerequisites for everything below: Zoom is connected, and the person acting is matched to a Zoom user on the «Users» tab. Without a match the meeting cannot be created on that person’s behalf.
- Meet now — start talking to a client immediately. Creates a meeting and copies the join link to the clipboard, ready to paste into the chat you are already in.
- Schedule — agree a time during the call. Opens a form with date, time and duration; optionally creates a Kommo task for that time so the meeting is not forgotten.
- Reschedule and Cancel — the client moved or dropped the call. Changes or cancels the meeting in Zoom itself, not only in the card.
- Meeting list — see what is agreed. Shows the meetings of this card and all meetings of the account on a chosen date.
- History in notes — know what actually happened without opening Zoom. Scheduled, started, ended, moved and cancelled are written into the card feed with the real time, duration and number of participants.
- Recording and transcript — review the conversation. When the meeting is over, a link to the cloud recording appears in the feed, and the transcript is attached as a file, as a link, or both, depending on your setting. Prerequisite: the host must be a licensed Zoom user with cloud recording enabled; audio transcript must be switched on in the Zoom account. Zoom prepares them after the meeting — the recording usually within an hour, the transcript later still.
- Notifications — the person responsible for the lead is told when a meeting starts or ends and when a recording or transcript is ready. Prerequisite: the notification is shown while Kommo is open with the integration on screen.
No custom fields are created: a single lead may hold many meetings, while a field holds one value.
Permissions
The integration requests permissions to create, read, update and delete meetings, to read past meeting details, and to read the list of account users — the last one is needed to create a meeting on behalf of the person who scheduled it. Recording video and audio, meeting chats and conversation content are not requested.
Limits
Zoom counts a daily limit on creating and updating meetings per user. Cloud recording and transcripts are available for licensed Zoom users only and are enabled in their account settings. For unlicensed users a group meeting is limited to 40 minutes.
Troubleshooting
- «Connect Zoom» is not visible. The button is shown to account administrators only. Ask an administrator to connect Zoom once, for the whole account.
- The Zoom window closes without connecting. A pop-up blocker usually swallows it. Allow pop-ups for your Kommo address and press the button again.
- A person is missing from the «Users» tab. Matching goes by e-mail, so an address that differs between Kommo and Zoom will not match automatically. Set that person by hand on the same tab.
- A meeting is not created. Zoom limits how many meetings one user may create per day. Check that the person is matched to a Zoom user, and that the daily limit of that Zoom account is not exhausted.
- The meeting ends after 40 minutes. That is the Zoom limit for group meetings of an unlicensed host, not a fault of the integration.
- No recording or transcript in the card. Both are produced by Zoom only when cloud recording — and, for the transcript, audio transcript — are enabled in the Zoom account, and the host is a licensed user. Zoom also needs time after the meeting: the recording usually within an hour, the transcript later.
- Nothing arrives at all after connecting. Disconnect Zoom in the integration settings and connect it again. If it does not help, write to us at the address below and name your account address and the time of the meeting.
Removing the app
How to remove it from your Zoom account. Log in to your Zoom account and navigate to the Zoom App Marketplace. Click Manage → Added Apps, or search for Kommo CRM Meetings. Select the app and click Remove.
How to remove it from Kommo. Open Settings → Integrations, open Zoom Meetings and delete the integration. You can also only disconnect Zoom, on the «Connection» tab, and keep the integration installed — useful when you are moving to another Zoom account.
What stops working. Right after removal the integration can no longer create, move or cancel meetings, and no new notes about meetings appear in the cards. Nothing else in your CRM changes.
What happens to your data. When you remove the app in Zoom, Zoom notifies us and we delete that account’s Zoom data: the connection tokens, the matching between your staff and Zoom users, and our records of the meetings. Deletion is confirmed back to Zoom through its data compliance endpoint. Notes already published in your CRM cards are not touched — they belong to your CRM, not to us. Meetings already created stay in Zoom and keep working; recordings and transcripts stay in your Zoom account and are governed by its own retention settings.
If you want your data deleted without removing the app, write to us at the address below and we will do it within 30 days.
